01What it is
A user is a sign-in account: first name, surname, email as the login and a password. The account is access to the application; the employee as a person in the company is described separately, in the team.
Permissions are set per module: people and attendance, mobile access, daily dashboard, customers, projects and units, jobs, inventory, equipment, suppliers and catalogues, finance and configuration. Each module has the level Edit, Read only or Disabled, and a new account has every module disabled.
The Space licence unit is an active account. During the trial you add accounts at no extra cost; in a paid period, an account above the paid number needs a top-up until the end of the period, which the company account owner places.
- THREE LEVELS
- Edit, read only or disabled for every module.
- ROLE TEMPLATES
- Six ready sets of permissions.
- ONE PERSON, ONE ACCOUNT
- The activity log records changes by name.
02What it is for
Everyone sees their part
A fitter does not see finance, a storekeeper does not change jobs.
Quick onboarding
A role template gives a new person their permissions at once.
Blocked sign-in
Unlock an account or a network after a series of wrong passwords.
Lost phone
Remove the second factor and the employee sets it up again at sign-in.
03Main options
Users are the account list, the account form, module permissions and the account card.
Who has access
Name with email, position and status.
- Tiles: all users and active ones
- Status filter and search by surname, email and position
- Unblock sign-in from this network after a series of wrong passwords
- Unlock account for a locked account

Sign-in details
First name, surname and a unique email are required.
- Phone and position
- A password of at least 10 characters, rejected when it is too common or contains the login
- Changing another person's password, email or second factor requires your password
- Unticking Account active switches the account off and emails that person

Modules and levels
A level for every module, or a role template.
- Edit, read only or disabled
- Templates: fitter, works manager, project manager, storekeeper, accounting, owner
- You cannot grant more than you have yourself or take away your own edit access to configuration

Sign-ins and activity
Overview, Sign-ins and Activity tabs.
- Last sign-in, session and two-factor sign-in
- The last 25 failed sign-in attempts
- The last 50 log entries and the linked employee

04Tasks step by step
- STEP 1Open Settings › Users and choose Add a user. In a paid period, when the licence already covers every active account, the button shows the top-up.
- STEP 2Enter the first name, surname, email and a password (at least 10 characters). Hand the password to the employee in person.
- STEP 3Choose a role template or set a level for each module.
- STEP 4Link the account to the employee in Settings › Team.
- STEP 1For a locked account, choose Unlock account.
- STEP 2When your network is blocked after a series of wrong passwords, choose Unblock sign-in from this network.
- STEP 1Open the account and untick Account active. The person receives an email and their open sessions expire.
- STEP 2Their work history stays in the application, and a switched-off account does not count towards the licence.
